UDA Privacy & Data Sharing Policy​

UDA collects and uses player information to support the administration, safety, welfare, academic experience, athletic development, communication, recruitment, enrolment, and operation of UDA programs.

​This policy explains what information may be collected, why it is used, who it may be shared with, and how players and families can ask questions about their information.

Information UDA May Collect

UDA may collect and store information including, but not limited to:
  • Player name
  • Preferred name
  • Date of birth
  • Contact details
  • Address
  • Parent/guardian contact information
  • Emergency contact information
  • Academic information
  • University, academy, or campus information
  • Athletic profile information
  • Position, dominant foot, previous club, and playing history
  • Uniform number and kit sizes
  • Passport, visa, immigration, or travel-related information, where required
  • Medical information relevant to safety and participation
  • Allergy information
  • Injury information
  • Physiotherapy or treatment-related information, where applicable
  • Learning support or additional support needs, where provided
  • Program forms, waivers, acknowledgements, and signatures
  • Payment and financial status information
  • Notes, documents, and communication records related to the player’s recruitment, enrolment, or program participation

Why UDA Uses Player Information

UDA may use player information to:
  • Administer the player’s recruitment, enrolment, and participation in the program.
  • Communicate with the player and parent/guardian, where applicable.
  • Support academic, athletic, welfare, and personal development.
  • Manage training, matches, travel, events, tours, housing, and academy activities.
  • Support player safety and emergency response.
  • Coordinate with coaches, staff, academies, universities, clubs, and approved service providers.
  • Manage payments, financial records, and program requirements.
  • Track completion of forms, agreements, waivers, onboarding requirements, and annual sign-offs.
  • Maintain accurate player records.
  • Meet legal, regulatory, safeguarding, insurance, financial, operational, or recordkeeping requirements.

Who Information May Be Shared With

Where appropriate and necessary, UDA may share relevant player information with:
  • UDA staff
  • Coaches
  • Program directors
  • Student support staff
  • Administrative staff
  • Partner universities
  • Academy partners
  • Club partners
  • Academic contacts
  • Physiotherapists or medical support providers
  • Travel, housing, event, or transportation providers
  • Payment, finance, or administrative service providers
  • Insurance or legal advisors, where required
  • Parent/guardian contacts, where appropriate
  • Other approved service providers involved in supporting the player’s recruitment, enrolment, participation, safety, or program experience

​UDA will only share information that is relevant to the purpose for which it is being used.

​Parent/Guardian Communication

Where appropriate, UDA may communicate with a parent or guardian about matters related to the player’s:
  • Safety
  • Welfare
  • Medical or emergency situation
  • Academic or program participation
  • Financial responsibilities
  • Conduct
  • Attendance
  • Travel or scheduling
  • Program completion requirements

​For players who are legally adults, UDA will consider applicable privacy requirements, player consent, and the nature of the situation when determining what information may be shared with parents/guardians.

​Communications & Text Notifications

UDA may use the contact information provided in UDA Connect to communicate with players and, where applicable, parents/guardians about the player’s participation in UDA programs.

This may include communication by email, phone, UDA Connect, messaging platforms, or text/SMS notifications.

Text notifications may be used for occasional program-related updates, including but not limited to:
  • Schedule changes
  • Training or match updates
  • Travel or transportation updates
  • Required form reminders
  • Payment or deadline reminders
  • Emergency or safety-related messages
  • Program announcements
  • Event or tour updates
  • Other time-sensitive information connected to UDA participation

Message frequency may vary. Standard message and data rates may apply.

Players and parents/guardians may opt out of non-emergency text notifications where applicable by following the instructions provided in the message or by contacting UDA. Opting out of text notifications may mean that important updates are delivered by another communication method.

​UDA may still send or attempt to communicate urgent, safety-related, emergency, or required program information through appropriate available channels.

​Medical, Welfare & Support Information

Some information collected by UDA may be sensitive, including medical, injury, welfare, disability, physiotherapy, or learning support information.

UDA uses this information to support player safety, participation, care, wellbeing, and reasonable program support. This information will be shared only with appropriate staff, partners, or providers who need it to support the player or manage a relevant situation.

​Data Accuracy

Players and parents/guardians are responsible for keeping their information accurate and up to date in UDA Connect.
​
This includes contact details, emergency contacts, medical information, allergies, support needs, and any other information that may affect participation or safety.

Consent & Other Reasons for Using Information

Some information is collected and used because it is necessary to administer the player’s participation in the program, communicate with the player or family, meet program requirements, manage safety, maintain records, or fulfil legal, safeguarding, insurance, financial, or operational responsibilities.

Where UDA relies on consent for certain uses of information, the player and/or parent/guardian may ask questions about that consent or request changes where applicable.

Certain program requirements may not be possible to administer without collecting and using the information needed to support participation, safety, communication, payments, travel, and program operations.

​International Programs & Data Sharing

UDA programs may involve players, families, academies, universities, partners, staff, and service providers in different countries.

Where required for recruitment, enrolment, travel, administration, academic support, athletic participation, safety, or program operations, relevant information may be shared with approved UDA staff, partners, providers, or systems in another country.

UDA will take reasonable steps to ensure information is shared and handled appropriately.

​Data Accuracy

​Players and parents/guardians are responsible for keeping their information accurate and up to date in UDA Connect.

​This includes contact details, emergency contacts, medical information, allergies, injuries, support needs, kit sizes, and any other information that may affect participation, safety, communication, or program experience.

​Data Storage & Security

UDA will take reasonable steps to store player information securely and protect it from unauthorized access, loss, misuse, or disclosure.

Information may be stored in UDA Connect or other approved systems used to administer recruitment, enrolment, communication, payments, travel, safety, and program participation.

​​Data Retention

UDA will retain player information for as long as reasonably necessary for program administration, legal, insurance, safeguarding, financial, operational, historical, or recordkeeping purposes.

​When information is no longer needed, UDA will take reasonable steps to delete, archive, anonymize, or securely store it as appropriate.

​Player Rights & Questions

Players may contact UDA with questions about their personal information, including requests to review, correct, update, or ask about information held by UDA.

Where applicable, players may also ask questions about how their information is used, shared, stored, or retained.

Where UDA relies on consent to use certain information, players may contact UDA to ask questions about that consent or request changes where applicable.

By signing the annual UDA Player Agreements & Consents in UDA Connect, I acknowledge that:
  • I have read and understand the UDA Privacy & Data Sharing Policy.
  • I understand that UDA collects and uses player information for recruitment, enrolment, academic, athletic, welfare, safety, administrative, communication, financial, and program-related purposes.
  • I understand that relevant information may be shared with UDA staff, partner universities, academy partners, club partners, coaches, providers, and parent/guardian contacts where appropriate.
  • I understand that some information may be shared internationally where required for recruitment, enrolment, travel, administration, safety, or program operations.
  • I agree to keep my UDA Connect profile accurate and up to date.
